Importing from Cliniko

Coming from Cliniko, we’ve successfully brought over patient list, appointments, and charts. Below you’ll find step-by-step instructions for how you can export your data when you’re feeling ready to make the switch to charting, billing and booking in Jane 💙

What can we import?


Exporting your Patients from Cliniko

To export your patients from Cliniko, please follow these steps as outlined in Cliniko’s guide on Exporting the Patient Report:

Before you get started, keep in mind this is an admin-only action in Cliniko. If you don’t see the options below, you may need to check your account permissions 🔍

  • Head to Settings
    • In Cliniko, navigate to Settings, then select Data exports from the menu.
  • Choose what you’re exporting
    • Under the export type, select Patients. This will pull a spreadsheet with your patients’ contact details, last appointment dates, referring doctor info, and more.
  • Set your date range
    • The date range filters by when patients were added to Cliniko — not when they last had an appointment. If you want your full patient list, set both fields to Any time💡
  • Click Export Data
    • Hit the button and Cliniko will start generating your file. Depending on how many patients you have, this can take a few minutes. You don’t need to wait on the page — feel free to navigate away and come back.
  • Download your file
    • Once it’s ready, a download link will appear. Click it and your file will save to your computer as a standard CSV file 💭 - It’ll open in Excel, Google Sheets, or most spreadsheet tools.

Exporting your Appointments from Cliniko

To export your appointments from Cliniko, please follow these steps as outlined in Cliniko’s guide on Exporting the Appointment Calendar and Attendees Report:

Cliniko actually gives you two export types for appointments — Calendar Events and Attendees — and they each tell a different story. Here’s how to get them, and which one to reach for.

Note: The Attendees report will give us what we need to bring in appointment history to Jane 🚀

  • Head to Settings
    • Go to Settings, then click into the Data exports tab.
  • Choose your export type
    • Under Data to export, you’ll pick either Calendar Events or Attendees. Feel free to provide us with both reports to bring in the most complete set of data ☀️

Here’s the quick breakdown of each report 🧐 ⬇️

  • Calendar Events — gives you a full picture of what’s on the calendar: appointment types, practitioners, unavailable blocks, and when things were scheduled. No patient info in this one, just the schedule itself.

  • Attendees — this is the one you want if you need patient-level detail. It shows who attended each appointment, when they were added, and how many reminders or follow-up messages were sent. Group appointments show up as one row per patient.

  • Set your date range
    • Pick the date range that covers what you need. If you want everything, set both fields to Any Time💡
  • Click Export data
    • Cliniko will start generating your file in the background. If you have a lot of data, it can take a while — especially during busy hours. You don’t need to stay on the page. You can also set up an email notification to let you know when it’s done.
  • Download your file
    • Once it’s ready, it’ll appear in your exports list. Click to download and you’re good to go.

A note on the old Appointments export: If you’ve been using the appointments (deprecated) export, it’s been replaced by the two above. It’s still accessible for now, but it won’t be around forever ⏳


Exporting your Charts from Cliniko

To export your charts from Cliniko, please follow these steps as outlined in Cliniko’s guide on Export Your Data (Charts via Data Export Tab):

To get your charts moved over, head to Cliniko’s Data Export tab — from there you can export all your Treatment Notes, Patient Attachments, and Patient Forms.

Once you’ve got those files ready, upload them to your Jane import request and we’ll take it from there. We review everything carefully to make sure your data lands exactly where it should.


Uploading Your Data into Jane

Thanks for following all those steps to export your data - you’re almost there! 🎉

The final step will be to upload your data in the import in Jane. You can navigate to Settings > Schedule an Import > View Details to securely upload the patient list, appointments and charts CSV files

Cliniko Billing Data

When moving over from another software to Jane, the one thing we like to make note of is the fact that we can’t import billing data. This type of data is quite complex and does not transfer between software, as each software formats this data differently. It’s best to keep any records you need on hand securely outside of Jane, but we can help guide you through how to manually transition your patient credits and receivables to Jane.
